The biggest advantage of a software for me is they allow online forms and esign. I want to be able to do everything online since I value my time. Other than that I would be fine with a spreadsheet to start.
How I handle maintenance requests without losing my mind — a system for small landlor

Compliance Monitoring: How Technology Tracks Changing Landlord-Tenant Laws
Compliance Monitoring: How Technology Tracks Changing Landlord-Tenant Laws Landlord-tenant law is a patchwork. A rent increase that's legal in Texas is illegal in California. Security deposit caps vary by state—some require interest payments, others don't. Late fees permitted in one county get struck down in another. By the time a self-managing landlord reads about a law change in an email newsletter, they might already be out of compliance. This fragmentation creates real liability.
What are small landlords using to manage everything without five different systems?
Forum Categories All I’m interested in hearing from landlords managing roughly 1–10 rental properties. What are you currently using to keep track of: Rent payments and receipts Maintenance requests and photos Tenant communication Leases, notices, and property documents Move-in and move-out records Vendors and completed repairs Are you using property-management software, spreadsheets, email, text messages, payment apps, or a combination of everything?
The tenant portion is where Section 8 landlords actually get hurt
Forum Categories All Investor · Collierville, TN 38017 · Member since 2017 · 575 posts Memphis operator, since 2003, few hundred doors, majority voucher. A couple of weeks ago I posted my tenancy and collections data arguing the tenant-quality stereotype about Section 8 is wrong. Some serious operators pushed back - including one running a few hundred S8 doors in Mississippi and a Detroit property manager with twenty years in the program - and the objection they raised was not tenant quality.
The real cost of not tracking your maintenance history — a Sacramento landlord's $3,8
I want to share something that happened to me last year that completely changed how I handle maintenance. I had a tenant report a slow drain in the upstairs bathroom. I sent my handyman, he snaked it, done. $150. Didn't think about it again. Four months later, same unit, same drain. Sent the handyman again. Another $150. He mentioned the pipes "looked rough" but couldn't tell me more without a camera inspection.
Quick sanity check for LA owners: what number are you using for this year's increase
Asking because the answer changed three times in six months and I keep seeing the wrong one quoted: City of LA RSO is 3% flat now (the utility add-ons died Feb 2, if your notice after that date still had the +1%/+2%, it's over the cap). Unincorporated county (Altadena, East LA…) is 1.919%, not a typo. And the state cap resets Aug 1: 8.0% → 8.7%.
Happy 4th — what's one thing you're grateful for as a landlord this year?

Figured I'd ask what most people won't: What's one thing about being a self-managing landlord that you're actually grateful for this year? For me — having full control over tenant relationships.
The one system every small landlord needs before their second property — not software
Angle: The system is a documented process — what happens when you get a maintenance call, when rent is late, and when a lease expires. Software without a process is just a fancier way to be disorganized. Walk through how you documented your own workflows before scaling: Maintenance request received → triage → vendor assignment → follow-up. Rent late → reminder → late fee → notice timeline. Lease approaching expiration → review → rent increase decision → renewal notice.
My rent collection system after I stopped accepting Venmo and checks
I self-manage 4 units in Sacramento, and for the first two years I was all over the place with rent collection. Venmo from one tenant, Zelle from another, and one guy who insisted on dropping off a check. December was the worst — I had to cross-reference three apps and my bank statement just to figure out who actually paid. The problems with the patchwork approach: No paper trail that holds up. Venmo "notes" aren't a ledger.

I just went through a move-out on one of my Sacramento units, and the timeline is way tighter than most landlords realize, especially after AB 2801 added the photo documentation requirements. Here's the actual sequence I follow now: Day 0 — Move-out inspection Walk the unit with timestamped photos and video. AB 2801 means you need to document condition at move-out (and you should already have move-in documentation from when the tenant took possession).

I self-manage 4 units in Sacramento and I swear California adds a new landlord requirement every legislative session. Between AB 1482 rent cap notices, AB 2801 security deposit documentation, local just-cause requirements, and the standard 30/60-day notice windows, there's a lot to keep straight. For the first year I used a spreadsheet with reminder dates. It worked okay until I missed a rent increase notice deadline by 3 days and had to eat a month of below-market rent.

I just went through my first move-out under AB 2801 and wanted to share what I learned, because this law has some teeth that aren't obvious until you're in the middle of it. Quick background: AB 2801 took effect in January 2025 and changes how California landlords handle security deposits. If you're self-managing in California, you need to know this. What changed: - You now need to document the condition of the unit with photos or video at both move-in and move-out.

CISSP: The Starting Line, Not the Finish Line
When I set out to earn my CISSP, I knew it would be more than just a checkbox. The process was demanding, covering everything from security architecture to risk management, and it forced me to sharpen skills that I had relied on for years. Passing the exam felt like crossing a finish line — until I realized it was really a starting line. The CISSP is validation. It proves credibility and mastery of the language of security. But certification alone doesn’t turn someone into a leader.
Shadow AI: The Rogue Intern Running Your Business
Why unvetted AI agents are charming, dangerous, and worth taming. A few weeks ago, a friend told me about a “tiny miracle” in their workflow. On a Friday afternoon, just before the weekend, they asked their personal AI agent to check the company’s pricing tiers against customer churn.
